Production Manager

The Production Manager is the company’s chief coordinator and leader of production operations leading up to and during the Summer Festival. He/she coordinates, manages, and oversees mainstage productions, presented the last week of July in Portland, Maine. He/she is also responsible for management and coordination of rehearsal spaces, scenic, prop and costume shop facilities. He/she advises the Artistic Department and General Director on general and technical production needs.  

The Production Manager is contracted for a period leading into, during, and after the Summer Festival. Artists will arrive to begin rehearsal on July 2, 2017, with rehearsals beginning July 5 inMerrill Auditorium with Load – In beginning July 17. Outside of the period of rental of the Merrill, he/she completes tasks on a part-time, as needed basis remotely, and makes limited trips to Portland as may be necessary.


  • Supervise all production staff and contractors including, but not limited to: technical staff, electricians, carpenters, production assistants, wardrobe personnel, props, running crew, interns, and any additional personnel required for specific production needs.
  • Advise and assist the Managing Director in hiring needed production staff.
  • Guide all director/design teams through the design process to guarantee the timely completion of all designs. With the input of appropriate technical staff, analyze all designs submitted to determine feasibility of execution within the allotted time, money and personnel available.
  • In collaboration with Artistic Department (Artistic Director and Stage Manager) and Managing Director, develop and administer production calendars and design deadlines for production. Determine load-in and tech schedules. Manage resource calendars for all shared facility spaces. Schedule all design and production meetings. Coordinate pre-season scenic, prop, and costume construction and oversee the bid process for scenic, prop and/or costume needs not built in-house. 
  • Oversee technical preparations in coordination with Technical Director, including evaluation of and arrangement for equipment / tool needs and repairs.
  • Oversee and coordinate all productions needs for the Festival with Lighting, Costume, Scenic, Wigs/Makeup and Audio Designers, as well as all department heads. 
  • Coordinate load-in and restore of all performance, concert and rehearsal venues, and serve as primary contact with venue management for all production related issues.
  • Assist with orchestra setup needs for rehearsals and performances, including transfer for equipment and materials between locations.
  • As necessary, support productions with hands-on projects including (but not limited to) special effects, projections and supertitles, audiovisual needs, assisting with stage work, purchasing, sourcing and researching materials and techniques. 
  • Coordinate post-season strike and storage needs.
  • Serve as PORTopera’s Safety Officer, responsible for the oversight and maintenance of a safe work place in compliance with OSHA, ADA and Building Fire Codes. He/she is responsible for developing a safety manual and addressing any safety hazards or safety infractions and following up on any hazard reports. The safety officer is also responsible for ensuring that all employees are familiar with the safety manual and Emergency Procedures policy. 
  • Act as liaison between PORTopera and IATSE Local 114 by nurturing strong working relationship with understanding of IATSE policies and operating procedures. Communicating/negotiating production budget/hours as concerns IATSE.
  • Manage truck rental and other equipment/supply transportation needs.
  • Facilitate timely and efficient communication between production departments, including coordination of production meetings.
  • Coordinate, set-up, and execute sound and AV needs for rehearsals and production
  • Manage and reconcile production budgets for each show.  Assist Managing and Artistic Director in identifying cost savings in labor and/or production elements.
  • Post-mortem the production process.
  • Advise on year-round production storage needs.
  • Participate in company planning with full-time staff.
  • Assist with budget preparation for technical / production areas.
  • Other duties related to overall production needs as assigned.



The Production Manager will bring a strong appreciation of PORTopera’s mission and a desire to positively both impact the organization’s long-term success and enhance the quality of productions presented by the company. He/she must have the following skills and experience: 

  •      3+ Years Experience as a Production Manager, working in professional opera and/or theater;
  •       Computer proficient (MS word, Excel, internet file sharing)
  •       Capacity to solve problems and engage in creative thinking to overcome challenges;
  •       Well-developed communication skills;
  •       Works well in a stressful environment with many personality types;
  •     Ability to be “hands on”, stepping in to help when needs arise.
  •       Maturity and understanding of the artistic process and excellent interpersonal, teamwork, and diplomacy skills;
  •       Proven ability to work independently and collaboratively in a fast paced, rapidly changing environment;
  •       Demonstrated ability to effectively manage multiple projects in a production environment;
  •       Technical knowledge of safe working procedures, safety equipment and products for the stage;
  •       Extensive knowledge of theatre techniques and processes, including safety standards;
  •       Strong verbal, quantitative, and organizational skills;
  •       Ability to prioritize, multi-task and work quickly and accurately with attention to detail;
  •    Ability to work nights and weekends during the month of July with long hours common from the date of load-in until the load-out is completed
  •       Ability to climb stairs and ladders, lift and carry heavy loads without assistance, and engage in other physical work related to the position;
  •      Driver’s License required


Commensurate with experience
Housing during the month of July with a host family if living out of area.


The position is available immediately for the continuation of planning for the 2017 Summer Festival; Artists and out-of-state production team will arrive July 2.
