Director of Finance & Operations

Kentucky Opera is accepting applications for the position of Director of Finance & Operations (DFO). This full-time salaried position reports to the General Director. 

Kentucky Opera is a nonprofit arts organization with an annual operating budget of approximately $2.3M, whose mission it is to enrich and engage our community through spectacular music, creative storytelling and the thrill of the human voice. Founded in 1952, Kentucky Opera is a thriving, robust organization with a long history of high artistic standards, courageous repertoire, and enthusiastically supportive audiences.  In 1982 it was officially declared the state opera of Kentucky, making it one of the first U.S. companies to be designated as a regional opera company. Over the next few years, Kentucky Opera will seek to broaden service to our community to include neighborhoods, cities, and rural areas throughout the commonwealth that have not traditionally been served by opera.

The ideal candidate will be an energetic, ambitious professional who enjoys creating solutions to challenges, and who is detail-oriented with a long-term perspective. The DFO is responsible for tracking the finances and day-to-day operations of the company. The DFO will report to the General Director. This position is a vital member of the Senior Leadership Team and serves as an advisor to the staff and board of directors. The DFO is responsible for accounting, finance, internal controls, operations and facilities, and human resources, and s/he works closely with the GD to develop short- and long-term financial plans, budgets, and forecasts.
Financial Management and Reporting
Develop, control, and monitor accounting procedures to support all financial preparation, reporting, and transactions including budgets, payroll, receipts, disbursements, and reconciliations – for both operations and capital projects.
Monitor income and expenditures against budget projections throughout the year, updating projections when needed and proactively address initiatives that are off-track, over-budget, or behind schedule.
Schedule and manage the annual budgeting process, producing monthly updates and variance reports.
Oversee all financial transactions on behalf of the theatre and manage all cash balances and cash needs including operating, capital and reserve funds.
Supervise successful preparation of tax returns and audits, working closely with an outside auditing firm.
Ensure timely and accurate filing of all tax & payrolls reports, including annual 990s, 1099s, W2s, annual workers’ compensation audits, and other tax documents and necessary regulatory reports and filings.
Lead the preparation of financial materials required to complete grant applications and reports.
Guide Senior Leadership Team on capital purchase decisions; maintain capital purchase schedules and reports.
Maintain and safeguard financial, insurance, and benefits relationships and records.
Develop and maintain a reliable cash flow projection process and reporting mechanism.
Complete the annual OPERA America survey and other surveys as required.
Supervise PO system, payments, processing (with third-party contractor), and bookkeeping.
Collaborate with the Director of Development to exceed financial goals set forth in the budget.
Serve as a Staff Liaison to the board of directors and a lead staff liaison to the finance committee, planning and executing agendas, meetings and all corresponding materials; attend all board meetings and finance committee meetings; attend other committee meetings as needed.
Work with Senior Leadership Team and other staff in preparing materials for long-term, strategic planning.
Provide the Senior Leadership Team and Board with meaningful analysis and financial perspectives to evaluate the financial condition of the organization.
Leverage financial and operational knowledge to help grow revenues and manage expenses consistent with Kentucky Opera’s high artistic standards.
Contribute to the work of the Senior Leadership Team in creating a positive, creative, and efficient workplace for artists and staff.
Human Resources
Directing and implementing all Human Resources-related duties such as: payroll, unemployment claims, employment verification requests, employee relations, compliance, exit interviews, onboarding, etc.
Oversee all functions of employee benefit plans including group health, vision and dental insurance, retirement plan, and life insurance administration.
Monitor employment related regulations and enforcement.
Help Senior Leadership Team create and implement personnel policies.
Oversee, and develop as necessary, internal controls.
Implement and oversee preventative internal controls such as: segregation of duties, proper authorization to prevent improper use of organizational resources, standardized forms, and computer/IT passwords.
Implement and oversee detective internal controls such as: reconciliations, cash counts, physical inventory counts, and performance reviews.
Oversees facility maintenance and repairs, as well as IT management in support of all staff functions in conjunction with third-party service providers.
Oversee venue requirements and contracts for non-production events, including rentals.
Oversee and maintain general supply inventories.
Maintain strong relationships with insurance broker to ensure proper levels of insurance coverage for the company, including but not limited to commercial general liability, cyber, worker’s compensation, and directors & officers/employment practice liability/fiduciary liability.
Additional duties, responsibilities, and projects as assigned.

Minimum of 5 years non-profit financial and admin management experience, preferably in the performing arts.
MBA preferred; bachelor’s degree required in accounting, business/arts admin, or equivalent. CPA not required.
Strong interpersonal and organizational skills including the ability to meet deadlines and anticipate needs.
Excellent computer skills in Microsoft Office, Power BI, and familiarity with CRM database (Tessitura, preferably)
Demonstrated ability in managing budgets and schedules, with strong administrative and system development skills.
Excellent attention to detail and accuracy, while focusing on long-term objectives.
Excellent written and verbal communication skills and superior problem-solving skills.
Ability to successfully juggle multiple priorities and self-direct.
Appreciation for the arts and a commitment to the mission of Kentucky Opera.
This position is full time and requires some off-peak hours for evening meetings, events, and performances. Salary and title are commensurate with experience.
