Job Title:              Advancement Data Coordinator

SUMMARY

The Development Data Coordinator is responsible for the accuracy and integrity of all constituent and contribution data within Tessitura, HGO’s constituent database. This data professional serves as the central data resource within the Development department, and primarily ensures timely data entry, as well as the processing and distribution of data requests. S/he will work closely with the Information Services and Finance departments on behalf of the Development department, in order to streamline data processes and uphold entry standards.

DUTIES AND RESPONSIBILITIES

  • Perform timely data entry tasks and manage entry processes to ensure accurate and relevant donor information in Tessitura; work with Advancement Administrative team by entering daily transactions accurately and timely to ensure the prompt delivery of acknowledgements and receipts
  • Handle donor billing: payment plans, entry corrections, adjustments, payment declines
  • Process gift receipt data weekly
  • Analyze and develop process improvements for fundraising contribution processing tasks by evaluating and researching best practices and internal capabilities
  • Assist with basic list, extraction, report request and special requests as assigned
  • Receive returned mail for Advancement departments; investigate/update where needed
  • Perform regular database maintenance: merges, address and constituent updates, constituent audit report, web batch checks, resolve CSIs
  • Oversee Advancement Services email account, processing correspondence daily
  • Assist in maintaining the individual donor moves management system in Tessitura; establish and maintain effective processes and procedures to ensure the quality and consistency of prospect tracking
  • Identify, manage and conduct on-going data clean-up tasks and projects to spot for inaccuracies within the database and to ensure the integrity of our data
  • Assist in the set-up of new Campaigns, Funds, Designations, and Appeals/Sources within Tessitura
  • Cross-train with Marketing Data Manager, serving as back-up when needed
  • Manage special projects, as assigned by Senior Advancement Data Manager

QUALIFICATIONS

Bachelor’s degree preferred in Information Science or Finance, or relatable experience required. Must have at least 2 consecutive years of experience interacting with a sophisticated data management system; non-profit environment preferred. Ability to read and/or write SQL statements is a plus.

SPECIAL CHARACTERISTICS

The ideal candidate will have an outstanding technical knowledge, eye for accuracy, and attention to detail. Candidate must possess strong organizational skills, a commitment to customer service, and the ability to identify and respond to operational issues, specifically within data entry scenarios. Some nights and weekend work required.
