Seasonal; Hourly Position
Duration: March 1 – October 1, 2018 

Position Description:

Primarily responsible for administrative support to the Artistic Department.  Participates in the current and future season planning process; assists as the primary point of contact for young artists, seasonal staff and interns; attends departmental meetings; and functions as an Artistic Department representative.  Reports directly to the Director of Artistic Administration and works closely with the Director of Artistic Initiatives and Director of the Young Artists Program.

This position will include some weekends and evenings, particularly during the summer festival. A valid driver’s license and clean driving record are required. Access to a vehicle is required. Housing and gas stipend provided.

Primary Duties:

  • Maintain Artistic Department calendars, databases, and all contract-related administration  
  • Coordinate departmental logistics for all second stages, off-site, and pre-season performances
  • Plan and assist with all logistics of the Young Artist Program audition tour and guest artist auditions
  • Track Artistic Department expenses and assist with budgeting
  • Assist the Director of Artistic Initiatives on program related administration
  • Assist the Music Operations Manager and Orchestra Personnel Manager with orchestra administration
  • Coordinate intern schedules and coverage for child wrangling and backstage duty assignments
  • Liaise with VIP guests and arrange artist travel
  • Assist in the creation of the Festival Master Schedule and, during the season, work with the Production Scheduler to ensure accuracy
  • Liaise with internal and external constituents regarding artistic-related needs
  • Represent the Artistic Department at events, rehearsals, performances, and auditions as necessary
  • Other duties as assigned

Requirements:

  • Bachelor’s degree required (arts administration, music, or theatre preferred)
  • At least one year experience working in artistic administration or stage management
  • Excellent problem-solving skills and the ability to multi-task and maintain composure under pressure
  • Flexibility, strong interpersonal skills, and attention to detail are essential
  • Ability to read music required and working knowledge of opera and musical theatre repertoire is a plus
  • Strong knowledge/experience with Microsoft Office (particularly Word and Excel) required
