PURPOSE:  To provide administrative support to the Office of the General Director.


REQUIREMENTS:

  • Bachelor’s degree from an accredited college or university (preferred) or equivalent work experience.

  • Minimum of three (3) years’ experience providing administrative support.

  • Experience working in a performing arts organization preferred.

  • Knowledge of operatic repertoire, theatrical production, and the performing arts preferred.

  • Outstanding organizational and communication skills, both written and verbal.

  • Advanced Microsoft Office applications and database skills

  • Proficiency in Tessitura, Google Aps, and online surveying, desirable.

  • Ability to attend occasional evening and weekend Opera events.

  • Excellent writing skills, with the ability to take and transcribe formal minutes.

  • Ability to work independently, exercising good judgment and follow-through.

  • Must maintain a high level of confidentiality.

  • Motivated and driven to provide a professional, collegial, and welcoming environment.

  • Ability to prioritize diverse and multiple tasks, maintaining flexibility and attention to detail.

  • Outstanding interpersonal skills including the ability to interact with a high degree of professionalism with Board members, artists, staff, the public, and volunteers.

  • Must perform the functions of the position in a safe manner.

  • Reliable daily attendance and punctuality. 

 

ESSENTIAL JOB FUNCTIONS:

 

  • Maintains General Director's schedule and calendar.

  • Coordinates and manages administrative duties for the Office of the General Director, including opening and sorting mail, preparing expense reports, maintaining an electronic and paper filing system, managing visitors and telephone calls.

  • In collaboration with the General Director’s Associate, supports the General Director in prioritization of ongoing projects and daily tasks.

  • Works closely with the General Director’s Associate to ensure that the General Director is informed of, and prepared for, upcoming commitments and responsibilities, and to ensure appropriate follow up.

  • Handles the General Director’s donor, patron and other correspondence.

  • Organizes the General Director’s U.S. and international travel.

  • Ensures that the General Director is adequately prepared for meetings and events, for example, gathering and preparing advance meeting materials, timelines, guest lists and bios.

  • Provides support to the executive offices including meeting organization, special event assistance, research.

  • Provides some cross-functional support in coordination with the Liaison to the Board of Directors.

  • Coordinates attendance of General Director’s guests to opera performances.  

SECONDARY FUNCTIONS:

  • Assists the General Director at performances and events (some evening work required).

  • Assists with Board and Committee Meeting set up and logistics.

  • Assists with processing and issuing Company Members’ identification credentials.

  • Manages and maintains executive office supplies.

  • Performs other job-related duties as assigned.
