Artistic and Music Coordinator

The Artistic and Music coordinator supports the daily in-season operations of the Artistic and Music departments. This position reports to the Director of Artistic and Music Administration and works collaboratively across the full organization.


Key Functions:

  • General administrative support to the Artistic department.
  • Assists with scheduling, logistics for auditions, including: visiting and resident artists, orchestra, chorus, dancers and supers. Organizes and proctors auditions as needed.
  • Assists with artist housing and travel arrangements.
  • Distributes daily schedules, assists with scheduling coaching and costume fittings.
  • Maintains department master calendar.
  • Attends rehearsals and performances as needed.
  • Works closely with the Director of Marketing and Development for final dress rehearsal logistics.
  • Makes wellness calls prior to mainstage and civic engagement activities.
  • Maintains updated database of marketing materials for artists and creatives.
  • Creates artist welcome packets.
  • Assists with research for outseason budget forecasts.
  • Handles personal needs of artists and production teams when needed.
  • Logistics and Set-up for orchestra rehearsals.
  • Assists with day-of coordination for development and audience engagement events.
  • Coordinate regular maintenance of pianos and harpsichord, including facilitating movement to and from performance venues when needed, and execute rental of special instruments.
  • Coordinates contracts and payroll for artistic and music departments as needed.

 

Minimum job requirements:

  • Two years+ experience in music/artistic departments of performing arts organizations.
  • Own vehicle that can accommodate transportation of electronic keyboard.
