EVENTS ASSISTANT

Job Summary

The Events Associate assists the Director of Special Events with the planning, coordination and execution of all special events. The Santa Fe Opera hosts approximately 80 events annually, including two major annual fundraisers, donor benefit and cultivation events, post-performance receptions, and private dinners and receptions. The Events Associate is a key member of a highly collaborative Development Department and plays an important role in the opera’s fundraising success.

DUTIES AND RESPONSIBILITIES
• Work closely with the Director of Special Events to plan and execute all revenue-generating special events including Opening Weekend, Opening Night Dinners, and the Summer and Winter Galas.

• Support other events, including Board receptions and dinners, benefit dinners, Business Council functions, cast and company parties, and numerous donor cultivation events throughout the year.

• Help develop creative direction and event content, including décor and florals, artistic/musical programming, and featured speakers.

• Assist the Director of Special Events with the design and mailing of print materials including save-the-dates and invitations, benefit committee materials, and dinner programs and signage.

• Build and maintain lists and extractions from Tessitura database.

• Prepare event memos for detailing logistics and attendance.

• Work with the Prospect Management & Research Analyst to create accurate research profiles and photos for all event attendees.

• Interface with artistic staff to coordinate event invitations for creative team members and artists.

• Maintain accurate Tessitura records tracking attendance, seating, dietary preferences, and other pertinent guest information.

• Revise donor lists and recognize event attendees and hosts in season program book.

• Maintain annual events calendar.

• Attend all special events, which includes evenings and weekends.

 ESSENTIAL JOB REQUIREMENTS

Undergraduate degree and 1 year of special event experience. Interest or background in the arts is a plus.

 

  • Must have excellent interpersonal communication skills, exemplary phone manners, demonstrated organizational ability, and an eye for detail with the ability to manage multiple projects.

  • Ability to initiate and complete projects and assignments with minimal guidance.

  • Excellent computer skills with a strong knowledge of Microsoft Office is required.

  • Flexible schedule and ability to attend and drive to all SFO-related events on evenings and weekends is required.

  • Valid driver’s license and access to an automobile is necessary. 

  • Must be able to lift 40 lbs.
