Company Management Assistant


DESCRIPTION

The Company Management team within the Operations department at The Dallas Opera (TDO) is responsible for the planning and execution of ancillary and mainstage opera productions. The Company Management Assistant is a vital part of the team and serves as the lead for artist services including scheduling accommodations, hospitality, travel, and other needs, as required. This position also provides administrative support to the Company Management team. The Company Management Assistant reports to the Administrator of Company Management and is a part-time, seasonal (September 9, 2024 – November 17, 2024; January 6, 2025 – March 10, 2025) non-exempt position, offered at $20.00/hour.

Artist Services:

• Provide a welcoming environment for guest artists, designers, and other company members.

• Serve as a liaison between visiting company members and TDO personnel.

• Arrange all travel and housing accommodations for visiting seasonal artists and production personnel including air travel, car rentals, hotel reservations, and long-term housing, in accordance with artist contracts, union agreements, and TDO best practices in conjunction with Company Manager.

• Contact artists directly upon planned arrival time according to their travel itinerary to ensure safe arrival.

• Assist in ensuring that all artists are accounted for prior to rehearsals and performances, communicate tardies/absences to pertinent personnel; contact all principal artists the morning of each performance to confirm wellness, call times, and backstage guests.

• See to any artist needs during production, in collaboration with the Administrator of Company Management and Occupational Health Coordinator.

• Process dress rehearsal passes and ticket requests for company members.

• Coordinate and oversee all TDO hospitality in rehearsal and performance spaces, where applicable.

• Personalize, coordinate, and administer all opening night gifts for visiting artists and creative team members.

• Procure all hospitality supplies in collaboration with the KRPC Facilities Manager and TDO Office Manager.

• Develop hospitality initiatives in collaboration with the Director of Operations to elevate artists’ experience.

• Coordinate artist cast parties and receptions, as required.

Company Management Administrative Support:

• Support daily TDO operations as assigned by the Administrator of Company Management.

• Assist in maintaining Company Management communications through artist itineraries, contact sheets, daily schedules, departmental reports, and more.

• Create and distribute Welcome Packets for all visiting artists and staff on their first day. Maintain all welcome packet material on digital and physical callboards.

• Represent the Company Management Department at all rehearsals and performances.

Miscellaneous:

• Perform other job-related duties as assigned.

• Demonstrate collaborative, effective teamwork with a wide range of personalities and working styles.

• Able to anticipate and solve problems confidently and quickly.

• Ability to communicate professionally verbally and in writing.

• Must maintain a high level of confidentiality and discretion.

Requirements:

• Ability to work nights and weekends, sometimes exceeding a standard 40-hour work week.

• Must be able to lift up to 30 pounds.

• Valid driver’s license and reliable form of transportation.

BENEFITS

Pay Range: $20 - $20 Hourly

This position is not benefits eligible.
