DESCRIPTION

The Director of Finance & Administration plays a leadership role in all financial aspects of the organization's work and to build and maintain efficient, accurate, and effective administrative practices and systems. This is a full-time role. 

 

As a member of a two-person team, the Director of Finance & Administration reports to the General Director & CEO, serves as a senior member of the Leadership team, works closely with the company’s Treasurer and Chair of the Finance Committee of the Board of Directors, and supervises one part-time bookkeeper. 

 

A Flexible, Audience-Centric Approach 

Calgary Opera’s most important work brings together audiences, donors, participants, and members of the public for events, performances, and programming. To do that well, most audience-serving activities are scheduled on weekday evenings, Saturdays, and Sundays. Generally, regular employees are expected to work an eight-hour day (8) for 40 hours per week. The Director of Finance & Administration has a unique set of responsibilities that requires a balance of administrative and audience-serving work. To manage these competing demands, we offer a flexible approach to when and where work happens. This includes:  

  • Start and end times that differ from 9 AM and 5 PM, respectively  

  • Swapping weekday work for weekend work  

  • Working from home or other remote location with stable internet connection

 

Responsibilities

Financial Systems, Controls, and Compliance 

  • Oversee finance and accounting functions, including budgeting, forecasting, cash planning and management, accounts payable, and accounts receivable 

  • Establish and maintain audit procedures and year-end requirements, collaborate with auditors for annual audit implementation plan 

  • Prepare and present financial statements, reports, and analysis for internal distribution and to various external stakeholders as required 

  • Ensure processes and systems have sufficient rigour to support internal controls, compliance, monitoring, and reporting 

  • Establish and maintain a robust accounting and reporting process for restricted funding and deferred expenses and revenues 

  • Build and maintain a matrix of administrative and non-programming expense allocations to support fundraising efforts 

  • Oversee insurance coverage, payroll, benefits plans, preparation and distribution of tax forms, slips, surveys, and returns 

  • Oversee financial management and reporting for the Southern Alberta Opera Development Foundation 

Organizational Stewardship and Strategy 

  • Provide financial stewardship, evaluating and directing resources in accordance with regulatory requirements and in alignment with strategic and operational plans 

  • Manage treasury functions including cash flow, credit, and investments 

  • Evaluate implications of business development opportunities and provide guidance on financial implications of strategic shifts and strategic growth 

  • Collaborate with Leadership Team and Board of Directors to build consensus around acceptable levels of risk and develop broad-based capitalization plan 

Relationship Management and Partnerships 

  • Establish and maintain productive working relationships with Leadership Team and other staff members, providing resources and information that support their success and the success of the organization; Treasurer, Chair of the Finance Committee, and other members of the Board of Directors; and auditors, bankers, vendors, and other key stakeholders 

  • Cultivate a professional network that contributes to the company’s success 

  • Represent Calgary Opera in meetings of finance professionals and other performing arts and charitable organizations 

 

Ideal Attributes & Qualifications 

  • Demonstrates curiosity, honesty, integrity, respect and commitment to discretion and confidentiality 

  • Demonstrates excellent communication skills (written, verbal, and listening) 

  • A self-starter who thrives in a collaborative, inclusive, and innovative work environment 

  • Offers a solution-oriented mindset, excellent time management skills, and the ability to manage competing priorities 

  • Passion for the performing arts and knowledge of classical music are assets 

  • Team player with the ability to inspire and motivate staff and volunteers  

  • 5 or more years of relevant leadership or management experience in finance and administration 

  • A relevant accounting designation or equivalent experience (e.g., CPA)  

  • Proficiency with accounting software, particularly SAGE; advanced skills in Microsoft Office, especially Excel and Teams 

  • Strong financial reporting, tax, and budgeting skills; knowledge of financial statement requirements for Canadian not-for-profit organizations 

  • Experience in arts and culture and/or the not-for-profit sector is an asset 

  • Employment is contingent upon completion of satisfactory background check

  • Candidate must be legally authorized to work in Canada
